How to Automate Invoicing and Collections in QuickBooks Online with AI

Most small businesses don’t have a sales problem as much as a getting-paid problem. Invoices go out late, reminders depend on someone remembering, and the awkward follow-up call keeps getting pushed to next week. If your books are in QuickBooks Online, you can automate invoicing in QuickBooks and most of the follow-up today, and the new AI features take care of more of it. Intuit says businesses using its AI-drafted payment reminders got paid 4 days sooner on average.

This guide covers what QuickBooks automates on its own, the AI features added in 2025 and 2026, invoicing from ChatGPT or Claude, and the North Carolina rules to keep in mind when an account goes overdue.

QuickBooks payment reminders and other built-in automation

Start with the features that don’t need AI at all. Many businesses pay for QuickBooks Online and never turn them on:

  • Automatic invoice reminders. According to Intuit, you can set up to three reminders, sent up to 90 days before or after the due date. You write the subject and message yourself. Reminders only go out for unpaid invoices you’ve already emailed to the customer.
  • Recurring invoices. For retainers, maintenance plans and monthly services, QuickBooks can create and send the same invoice on a schedule.
  • Online payments. With QuickBooks Payments turned on, each invoice includes a way to pay by card or bank transfer. The easier it is to pay, the fewer QuickBooks payment reminders you need.
  • Estimates that become invoices. In the fall 2026 release, a single estimate link lets a client approve the job and pay a deposit. The estimate then converts to an invoice with the deposit applied. This needs QuickBooks Payments.

The AI invoicing features in QuickBooks

To automate invoicing in QuickBooks further, Intuit has added two layers of AI on top of those basics.

Payments AI. This QuickBooks AI invoicing feature is available in the US on QuickBooks Online Essentials, Plus and Advanced, and on Intuit Enterprise Suite. According to Intuit’s help article, it can:

  • Suggest a reminder schedule, which you review before approving
  • Suggest a late fee policy for overdue invoices
  • Draft the subject line and email for each invoice
  • Fill in an invoice from an uploaded document, photo or text
  • Create an estimate from emails in a connected Gmail or Outlook account

Intuit Intelligence. In the fall 2026 release, Intuit added AI invoicing in QuickBooks that drafts invoices for your review and, with your approval, sends prioritized payment reminders. It’s in beta on Essentials through Advanced, with limited capacity each month. That’s where Intuit’s “4 days sooner” figure comes from, based on its US customers from March 2025 to March 2026. Intuit says nothing sends until you approve it.

Invoicing from ChatGPT or Claude

If your team already works in ChatGPT or Claude, you can automate invoicing in QuickBooks from there too, through official connectors for both. According to Intuit’s announcement, you can create, send and update invoices and estimates, send payment reminders and send payment links from the chat. The fall 2026 release adds requests like turning recent job emails into invoices.

These connectors can make changes, not just read data. Decide up front which actions always need a person’s approval, and connect through a user with only the access it needs. Our guide to connecting AI to QuickBooks, NetSuite and Shopify walks through the setup, and our comparison of Copilot vs ChatGPT vs Claude vs Gemini helps if you haven’t picked an assistant yet.

A polite collections schedule in QuickBooks

Here’s an example schedule for QuickBooks collections. Adjust the timing to your payment terms and your customers:

WhenWhat goes outWho handles it
3 days before the due dateA friendly QuickBooks payment reminder with a payment linkQuickBooks, automatically
1 day after the due dateA short reminderQuickBooks, automatically
15 days lateA personal email, drafted by AI and reviewed by the ownerAI draft, person sends
30 days lateA phone call, with a payment plan if neededA person
60 days lateA final notice, then a decision: collection agency, small claims court or write-offA person

QuickBooks payment reminders handle the routine follow-ups. People handle the conversations, because that’s where relationships are kept or lost. In North Carolina, small claims court handles cases up to $10,000, which covers many unpaid small business invoices.

North Carolina rules for overdue consumer accounts

If your customers are individuals, such as homeowners, patients or clients, North Carolina’s Debt Collection Act applies to your QuickBooks collections and every other reminder you send. Unlike the federal law, which mostly covers collection agencies, North Carolina’s law also covers businesses collecting their own consumer debts. Business-to-business invoices generally fall outside it.

The statute bars, among other things:

  • Threatening any action that isn’t permitted by law
  • Contacting someone so often that it amounts to harassment
  • Telling third parties, such as an employer, about the debt, with limited exceptions
  • Misstating the amount or status of the debt
  • Collecting interest, fees or charges you aren’t legally entitled to

Violations can cost $500 to $4,000 each, plus actual damages. For QuickBooks collections, that means three practical rules. Read AI-drafted reminders before they go out, and don’t let AI invent consequences you won’t actually pursue. Only turn on automatic late fees if your written terms allow them. And keep reminders to a reasonable schedule. This is general information, not legal advice, so check your terms with your attorney.

A one-afternoon setup checklist

Here’s how to automate invoicing in QuickBooks Online in a single afternoon:

  1. Clean up customer records. Correct billing emails and payment terms for every active customer.
  2. Turn on online payments so every invoice has a way to pay.
  3. Set up three QuickBooks payment reminders in your own words.
  4. Put late fee terms in writing in your estimates and contracts before you turn on late fees.
  5. Review the Payments AI suggestions if you’re on Essentials or above, and approve only what fits.
  6. Block 15 minutes a week to review the accounts receivable aging report and decide who needs a call.
