Copilot vs ChatGPT vs Claude vs Gemini: Which AI Assistant Fits Your Small Business

Copilot vs ChatGPT is the question we hear most from small businesses in Asheville, usually followed by “and what about Claude and Gemini?” All four are good. The better question is which one fits the software your team already uses, what it costs per person, and how it handles your data. For many offices, the right first AI assistant for small business work is the one already included in Microsoft 365 or Google Workspace.

Below is a plain comparison of the four business plans, with prices checked on each vendor’s site in November 2026, and a simple way to test them before you commit.

Copilot vs ChatGPT vs Claude vs Gemini: the short answer

  • Your team lives in Outlook, Word, Excel and Teams. Start with Microsoft Copilot Chat, which comes with eligible Microsoft 365 business plans. Add Microsoft 365 Copilot Business for the people who need AI inside those apps.
  • Your team lives in Gmail, Docs and Sheets. Gemini is already part of Google Workspace business plans. Business Standard and Plus include it across Gmail, Docs, Sheets, Meet and Drive.
  • You want one assistant that works across many tools. Try ChatGPT Business and Claude Team side by side. Both connect to the apps small businesses use, and both cost the same per seat.

Plenty of businesses end up with two: the assistant built into their office suite for everyone, and a standalone assistant for the few people who use AI all day.

What each AI assistant costs a small business

Here’s how the math works in a Copilot vs ChatGPT decision. A 10-person office already on Microsoft 365 could give everyone Copilot Chat at no extra cost and add Copilot Business for three heavy Excel and Outlook users: 3 × $21 × 12 = $756 a year at the regular annual price. Putting all 10 people on ChatGPT Business or Claude Team with annual billing would be 10 × $20 × 12 = $2,400 a year. Neither is wrong. The right AI assistant for a small business depends on who actually needs what.

Where Copilot, ChatGPT, Claude and Gemini each fit

Microsoft 365 Copilot works inside Word, Excel, PowerPoint, Outlook and Teams. According to Microsoft, it draws on your emails, chats, documents and meetings, and includes prebuilt agents like Researcher and Analyst. In a Copilot vs ChatGPT decision, it’s the natural choice when the work already happens in Microsoft files.

Gemini is the business AI assistant inside Google Workspace, with Gemini in Gmail, Docs, Sheets, Meet and Drive on Business Standard and Plus. Those plans also include NotebookLM, which Google now calls Gemini Notebook, for questions across a set of your own documents.

ChatGPT Business is a standalone AI assistant with connectors to more than 60 apps, including Slack, Google Drive and SharePoint, according to OpenAI. Many employees already know it from personal use, which can shorten training.

Claude Team is also a standalone AI assistant for business. Its connectors include Google Drive, Gmail, Google Calendar, Microsoft 365 and Slack, and the plan includes Claude Code for software work and Claude Cowork for longer, multi-step tasks.

ChatGPT and Claude can also connect to QuickBooks Online through official connectors from Intuit. Our guide to connecting AI to QuickBooks, NetSuite and Shopify covers how that works.

Data security for small business AI assistants

All four business plans say your business content isn’t used to train their models by default. OpenAI lists “No training on your data” for ChatGPT Business, and Anthropic says the same for Claude Team. Google says Workspace data isn’t used to train Gemini models. Microsoft describes enterprise data protection for Copilot that keeps data within Microsoft 365.

With any AI assistant for small business use, the bigger risk is people using personal accounts for work, where those protections and the admin controls don’t apply. Our guide on whether ChatGPT is safe for business data explains the difference. If you handle health or other regulated data, plan choice matters even more. How to choose an AI assistant for your small business

For Copilot vs ChatGPT, or any other pairing, a two-week test beats any comparison chart, including this one:

  1. Start from what you already pay for. Turn on Copilot Chat or Gemini if you have them.
  2. Pick three real tasks. For example, a customer email reply, a question about a spreadsheet and a summary of a long document.
  3. Run the same tasks in two tools, with two or three people who do that work every week.
  4. Score the results on accuracy, time saved and how well each tool fits into the way your team works.
  5. Decide by role. Most people need a standard seat. Premium seats and add-ons belong with your heaviest users.

Our 30-day plan to start using AI has more detail on choosing and measuring the first tasks.

Mistakes to avoid

  • Paying twice for everyone. A suite AI assistant plus a standalone one for every employee is rarely worth it for a small business.
  • Choosing by headlines. Copilot vs ChatGPT rankings shift every few months as the models improve. Fit with your tools and data matters more than this month’s rankings.
  • Skipping the rules. A one-page AI use policy and a short rollout plan prevent most problems, whichever tool you pick.

Frequently asked questions

Is Copilot the same as ChatGPT?

No. They’re different products from different companies. Microsoft 365 Copilot works inside Microsoft 365 and draws on your work files and email. ChatGPT is OpenAI’s standalone assistant, which connects to other apps through connectors.

What’s the cheapest AI assistant for a small business?

The one you already pay for. Copilot Chat comes with eligible Microsoft 365 business plans, and Gemini is included in Google Workspace business plans. Start there before buying a separate subscription.

Can we use more than one assistant?

Yes, and many small businesses use more than one AI assistant. Set clear rules about which tool is approved for which data, and avoid paying for overlapping seats.

Is the free version of ChatGPT okay for work?

Not for business data. Free and personal plans don’t have the admin controls or business data terms of the paid business plans. Use the business plan of whichever AI assistant your small business chooses.
